Interactive Voice Response System

To access the IVR, call (804) 371-9631.

The IVR system is an advanced telephone system which combines the best attributes of technology and human resources to provide complete customer service. Our IVR System allows you to obtain information at your convenience, 24 hours a day, seven days a week. However, there are certain times when the licensing and appointment information will not be available due to system maintenance.

The schedule for the system to be down is as follows:

  • Monday - Friday from 7 p.m. - 7:30 p.m.
  • Thursday - 3 a.m. - 5 a.m.
  • Sunday - 4 a.m. - 8 a.m.

Some of the specific features you may find useful are:

  • Audiotext which, with the use of a touch-tone phone, directs your call to the area of interest to you
  • Ability to obtain license and appointment information
  • Explanation of licensing procedures
  • Ability to have forms and procedures faxed to you

Navigating through the IVR System

Upon accessing the IVR system, you will be able to direct your questions to one of five areas:

  • OPTION 1. Licensing Information on a particular agent or agency
  • OPTION 2. Appointment Information on an agent or agency with a particular Insurance Carrier
  • OPTION 3. Procedures
  • OPTION 4. Fax Back System - select documents to be faxed to you
  • OPTION 5. Mailing and Overnight Address

Press * at any time to return to the Main Menu.
Press 0 to reach a Representative (Monday through Friday 8:15 - 5:00) at any time throughout the system and your call will be answered in the order received.

LICENSING INFORMATION - Press 1

  • Licensing Information for an Agent
    Press 1 and enter the 9-digit identification number (Social Security Number). The system will repeat the number for verification purposes and the first five letters of the agent's last name and ask you to press 1 if the number entered is correct or press 2 if the number entered is incorrect.

    The system will access all license types and will give you a list of all licenses that an agent currently holds or has held. You may access a certain license type by following the instructions or you may press 9 and be given information about all license types. You will be provided information indicating whether the agent has met the continuing education requirement (if applicable) for the current biennium.

  • Licensing Information for an Agency
    Press 2 and enter the 9-digit identification number (Tax Id Number). The system will repeat the number for verification purposes and the first five letters of the agency's name and ask you to press 1 if the number is entered is correct or press 2 if the number entered is incorrect.

    The system will provide you with a list of all license types applicable to that agency. You may access a certain license type and the current status of that license by following the instructions or you may press 9 and be given information about all license types.

APPOINTMENT INFORMATION - Press 2

You will need the NAIC number and the Identification number (Social Security Number or Tax Id Number).

Enter the 5 digit NAIC number. The system will repeat the number for verification purposes and ask you to press 1 if the number entered is correct and press 2 if the number entered is incorrect. The system will then ask if you want to check an agent or agency. Press 1 to check the appointment status for an agent and enter the 9-digit identification number (Social Security Number). The system will repeat the number for verification purposes and the first five letters of the agent's last name and ask you to press 1 if the number entered is correct or press 2 if the number entered is incorrect. Press 2 if you want to check the appointment status for an agency and enter the 9-digit identification number (Tax Id Number). The system will repeat the number for verification purposes and the first five letters of the agency's name and ask you to press 1 if the number is entered is correct or press 2 if the number entered is incorrect. You may check more than one appointment for a particular company or change your selection to inquire about a different company number.

The system will give you the current status of that appointment and the date associated with the status.
